Executive Administrative Assistant

If this is you, MacStadium is looking for an Executive Administrative Assistant who will be responsible for providing comprehensive support primarily to the CEO and serve as a liaison between the Board of Directors and Senior Leadership Team (SLT). This role will use discretion, good judgment, and maintain confidentiality in facilitating the day-to-day activities. Developing positive and strategic relationships at all levels will be crucial to be successful in this role.
Reporting to the Chief Executive Officer (CEO), this is flexible hybrid role with up to three days in the office per week, located in the Buckhead area.
What you will be doing:
- Provide high-level administrative support primarily to the CEO and/or other assigned C-Suite or senior leader
- Organize team communications and plan company-wide events such as All Hands Meetings, offsite events and the like
- Be the point of contact for scheduling virtual and in-person executive and board meetings, including conference room set up, lunch orders, and coordinate all technologies are ready for the meetings
- Prepare any documents in support of company objectives, including board books, decks, and other presentations
- Create, update, and maintain confidential documentation and/or reports for the Senior Leadership Team (SLT)
- Attend meetings to take meeting notes when required
- Be responsive to incoming calls and emails, respond to email and/or call requests, and deliver messages to the appropriate party in a timely manner
- Arrange travel, accommodation, and expense reports
- Perform any research and analysis tasks, assist in projects, and compile any required materials
- Partner with HR and IT to maintain office operations and procedures such as office equipment orders, sending and receiving packages, and keeping a tidy office at all times
- Special projects and tasks as assigned
What Skills and Experience you need to have:
- 3+ years of executive administrative assistant experience required, direct CEO support strongly preferred
- Associate’s degree preferred
- Advanced skills in Microsoft Suite, including Outlook, Word, Sharepoint (or One Drive), Excel, Forms, and Powerpoint
- Ability to work independently and be collaborative with a sense of urgency
- Ability to navigate and perform in a remote friendly, high-paced environment while maintaining composure
- Highly organized and the ability to juggle multiple projects at once
- Highly attentive to the finer details, detailed-oriented and thorough
- Excellent verbal and written communication skills
- Excellent time management skills and ability to meet deadlines
- Willingness to be onsite for the full work week during busy events season such as company kick off, boot camp, in-person strategy sessions and the like
